Process

Pre-registration

  • Prior to the start of each semester, SGS will work with academic units to identify the core courses that students in each programme and each year of entry are required to take if they are making "normal" progress towards their award. These courses will then be pre-registered in the student's schedule.
  • Programme electives may or may not be pre-registered.
  • All pre-registered courses will be displayed in the student's personal class schedule in AIMS before the start of each semester.
  • Once the pre-registration schedule is available, students should check whether the pre-registered courses match their curriculum requirements and individual academic progress. They can use this version as a basis to make further changes and finalise their class schedule for the following semester.

Academic Advice

  • Students must be clear about their own curriculum/award requirements in order to work out a study plan and compile their class schedule for each semester. Seek academic advice from your home academic unit if you have questions about your curriculum requirements.
  • Students on academic probation or resuming studies after a period of academic suspension must seek the approval of their Academic Advisor prior to course registration for the semester.

Preparatory Work

  • Before you begin registering, check the Programmes and Courses website for your curriculum requirements.
  • Check your Personal Class Schedule for courses pre-registered for the semester/term.
  • Check the Master Class Schedule to find out whether the course you plan to register for the semester/term is web-enabled or has any registration restrictions. You should also make sure that the course is not full and the meeting day and time do not clash with your existing schedule.
  • Check the Courses section of the Programmes and Courses website for prerequisite and precursor requirements.
  • Consider the time required for travelling between different academic buildings to attend classes.
  • Write down the CRNs, course codes, titles and section numbers of the courses you intend to add to your schedule. Make sure you have included ALL components of a course, e.g. lecture + tutorial + laboratory.

Web Add/Drops

  • Students can add/drop courses online via AIMS for web-enabled courses, including:
    • Required courses and programme electives which are web-enabled
    • Optional language courses in Chinese, Putonghua, etc. offered by the School of Continuing and Professional Education which are non-credit-bearing
    • Physical education courses offered by the Student Development Services which are non-credit-bearing
  • Students will have different start times to access web registration. For details, please refer to the Web Registration section.

Add/Drop of Non-web-enabled Courses

  • To add/drop required courses and programme electives which are NOT web-enabled, students can submit an application to the home academic unit for approval via AIMS,
  • The function is available from AIMS > Course Registration > Application for Non-Web-enabled Course & Study Load Adjustment during the add/drop period. For details, please refer to the Add/Drop of Non-Web-enabled Courses section.

Late Add/Drops

  • Any add/drop received by the academic unit after the add/drop period will not necessarily be approved and will be considered on a case-by-case basis. Requests for late drop of courses will only be approved under exceptional circumstances, and such late requests must be submitted no later than the end of the teaching period for the relevant semester/term for approval of the Heads of both the course-offering academic unit and the home academic unit.
  • If a student is permitted to drop a course after the add/drop period, an 'X' grade will be assigned for the course.
  • For courses charged by credit units, tuition fees are chargeable for courses approved for dropping after the end of Week 2. For details, please refer to the Regulations on Tuition Fees.

Study Load

  • In accordance with the Academic Regulations for Master's Degrees, the maximum and minimum study loads of students are as follows:
    In each semester, except the Summer Term, full-time students must register for at least twelve but not more than eighteen credit units; part-time students must register for not more than eleven credit units; and combined mode students must register for not more than eighteen credit units.
    In the Summer Term, students may register for courses but the total load must not exceed seven credit units.
  • Students who are under special circumstances and need to increase or reduce their study load should submit an application to their home academic unit for consideration. The application form for study load adjustment is available in AIMS > Course Registration > Application for Add/Drop of Non-Web-enabled Course & Study Load Adjustment. After the home academic unit makes its decision, you can check the status and notes from academic unit (if any) in the application form.
  • Upon recommendation by the home academic unit, students on probation may be required to take a reduced study load.
  • The maximum study load permitted in each semester can be found in AIMS > Course Registration > Course Registration Records.

Non-Credit-Bearing Courses

  • The School of Continuing and Professional Education (SCOPE) offers optional language courses in Chinese and Putonghua to students. These optional courses are non-credit-bearing and will not be counted towards the student's study load.
  • The Student Development Services (SDS) offers non-credit-bearing physical education courses to students which can be registered through AIMS.

Students' Responsibilities

  • It is the students' responsibility to ensure they register for the right courses that meet their curriculum and award requirements.
  • They should also check if they have satisfied the prerequisite or precursor requirements before adding a course. It is their responsibility to drop those courses for which they have not satisfied the prerequisites.
  • Students who have fulfilled the graduation requirements and have been granted an award in the current semester are not permitted to register for courses in the following semester unless they have been admitted to a new programme.

De-registration

The University reserves the right to de-register students from a course or course section under the following circumstances:

  • if a course is cancelled or course sections are combined due to insufficient enrolment
  • if the registered course is inappropriate for the student's level
  • if the registered course is not appropriate to the student's campus, programme, degree, stream or curriculum requirements
  • if the student has not satisfied the prerequisites prescribed for the course
  • if the student has already passed the registered course or its equivalent with the grade C+ or above
  • if the student has been granted credit transfer/exemption for the registered course or its equivalent
  • if the student has earned credit units for an exclusive course of the registered course
  • if the student has not paid outstanding tuition fees
  • if the student ceases to enjoy active student status for that semester
  • if the student has already fulfilled graduation requirements in the previous semester/term
  • if the student has reached the maximum period of study in the previous semester/term
  • if the student has attempted to gain an unfair advantage during online course registration
  • in the event of violation of the Academic Regulations

Tuition Fees

Students studying in a programme that charges tuition fee according to the number of credit units:

(a) 2019 Cohort and Before
  Students will be charged a minimum tuition fee of two credit units before the start of Semesters A and B. The balance of the tuition fee chargeable for the semester/term will be calculated based on the number of credit units registered.
   
(b) 2020 Cohort and Thereafter
  Students will be charged an instalment in the first statement before the start of Semesters A and B. Instalment payments will offset the tuition fees of the student's actual course registration in the concerned semester. If the instalment is greater than the tuition fees for the semester, the balance will be credited back to the student's account to cover future tuition fees. For instalment that cannot cover the tuition fees for the semester, additional tuition fees will be charged in the second statement.
