List of Orientation Activities
Guidelines on Student-led Activities
Every successful activity planning starts with civility, so does your university life.
Always refer to the guidelines when planning activities.
Launchpad
1. All orientation Activity Proposal Form must be submitted to SDS one month before the event day (Sample link).
2. If the activity involves any sponsorships, you must seek prior endorsement from SDS by completing the Application for Accepting Sponsorship Form attached to the Activity Proposal Form.
3. If you plan to collect any fees, including membership or orientation fees, you must seek prior endorsement from SDS via email to sdssat@cityu.edu.hk. When handling fee collection, please ensure:

Clearly explain the purpose of the fee to students; providing false, misleading, or incomplete information is prohibited.

Issue receipts or payment confirmation to payers once the fee is received.

The receipts or confirmation must clearly show the payee (society) name, payer name, purpose, and amount of the fee. If a hardcopy receipt is available, it must be stamped by the Society.

If a refund mechanism is applicable, all details must be stated in a clear, written document, and you should ensure students fully understand the process.

Preparation
1. Student Activity Fund
- You can apply for the ‘Student Activity Fund’ for eligible orientation activities. For details, please visit here.
2. Mandatory CityUHK CASH Online Tutorial
- All members from student organisations and student helpers (including 組爸組媽) are required to complete the CityUHK CASH Online Tutorial of the University’s Committee Against Sexual Harassment (CASH) prior to the orientation activity.
Execution
1. Courteous Orientation Activities:
- Please be considerate and avoid noise nuisance in public places.
- Cheering activities should be held within the O-camp venue to receive funding.

3. Insurance for Orientation Activities
- Current students participating in student activities are covered under the University's Group Personal Accident Insurance - Student's policy.
- Report emergencies promptly to SDS. (Email: sdssat@cityu.edu.hk / Tel: 5169 2153)

4. Adverse Weather Arrangements:
- Follow the University guideline
5. WhatsApp communication channel:
- A WhatsApp communication channel is set up for students to share their thoughts or report any misconduct with SDS staff at any time.
- The WhatsApp QR code will be printed on materials that are accessible to all participants.
6. The organisers should appoint 2-3 students as the orientation ambassadors to work closely with SDS staff to oversee the situation during the activities.
7. SDS staff will perform on-site visits at the beginning and end of the event to ensure the event is properly organised and conducted.
