The Ma On Shan Compound houses UG students in shared double rooms solely.
Room & Roommate Assignment
Successful applicants can indicate their preferences through AIMS upon their successful
confirmation of their residence offers. In principle, all applicants will be randomly
assigned to double rooms if no preference is indicated.
Before indicating a roommate preference, an applicant should ensure that the preferred
roommate:
- has confirmed the offer acceptance of the student residence for the same housing period
and at the same compound;
- is of the same gender;
- agrees to be paired up as roommate, and has indicated on his/her application form the
applicant as the preferred roommate.
General Principles for Room Assignment
Applicants' preferences will be considered as far as possible. However, there is no
guarantee that you will be assigned to a particular hall, unit, room type, or with a
specific roommate. Final room assignments will be subject to room availability and hall
admission policies. The Student Residence Office and the Residence Masters reserve the right
to make alternative assignment decisions or re-assign students as appropriate.
No room assignment will be made if applicants fail to complete the application procedures or
the procedures of offer acceptance properly within the period as specified.

Bed spaces will be allocated in accordance with: - mix of gender
(proportional to the gender of student population); - student types
|

Bed spaces will be allocated to the returning residents recommended by the
Residence Masters. Returning residents recommended by the Residence Master are
assigned to the hall under respective hall specific returning scheme.
Preferred roommates should have indicated the same hall preferences and
preferred roommate on AIMS.

Room assignment for current/new students will be allocated by the computer
system:

Hall preferences (1st and 2nd choices) indicated by confirmed
applicants.
|
|

Preferred roommates should have indicated the same hall
preferences on AIMS.
|
|
|
3.3
|
When the hall preferences of confirmed applicants cannot be
entertained, hall and room will be randomly assigned by the
computer system.
|
|
|
3.4
|
Students who have not indicated their preference via AIMS by the
deadline will be randomly assigned to a hall and a room by the
computer system.
|
|
|
3.5
|
Hall residents via the Student Athletes Admission Scheme (SAAS)
will be randomly assigned to a hall and a room by the computer
system.

|
|
Unoccupied Bedspaces/Rooms
Accommodations are assigned on the principle of ensuring maximum design capacity. Any
unoccupied bed(s)/room(s) shall be assigned to new resident(s) who may arrive throughout the
residential period, and hence please keep the unoccupied bedspaces intact and get prepared
for your roommates's check-in at any time. Illegal occupation will lead to disciplinary
action with penalty charges.
Policies about Room Change/Swapping

Principles

Room assignment is for one housing year. In our residence
community, residents are strongly encouraged to resolve the
differences or conflicts with their roommates, flatmates or
floormates by mutual respect, tolerance and communication.
Therefore, residents are not allowed to change rooms during the
housing year except by special request and with the approval of
the Residence Masters.

Residents should check if their residing halls or other halls
have a specific set of policies on room change/swapping before
application.

Residents are only allowed to apply room change/swapping within
the Ma On Shan Compound.

|

Application Procedures
|

Residents should complete the application
form for room change/swapping.
|
|
|
|

Intra-hall Room Swapping
|
|

Residents and their respective
roommate/flatmates should sign as a mutual
agreement on the application forms.
|
2.1.2
|
Residents should first contact their respective
Residence Tutors for consultation and then
secure the written recommendations of their
Residence Tutors on the application forms.
|

Residents should submit the application forms to
their respective Residence Masters for approval.
|

Residence Masters will then send the signed
application forms to the Student Residence
Office (SRO) for follow-up actions.

|

Inter-hall Room Swapping

Residents and their respective roommates should
sign as a mutual agreement on the application
forms.

Residents should submit the application forms to
the Residence Tutors of the 2 respective halls
for recommendations.

Residents should submit the application forms to
the Residence Masters of the 2 respective halls
for approval.

Residence Masters will then send the signed
application forms to SRO for follow-up actions.

Request of Double Room of Single Occupancy
|
|
Residents should submit applications with supporting document
(if any) to their respective Residence Masters for consideration
and approval, subject to room availability.

Application Processing
|

|
Upon receipt of the completed application forms, SRO will
entertain the requests, subject to room availability.
|

Upon receipt of the approved applications:

Room Swapping
|
|

Residents will be informed to
complete the necessary
procedures at SRO within 3
working days.

If residents fail to respond
within these 3 working days, the
applications will be cancelled
automatically without prior
notice.

Room Change
|
|

Residents will be informed to
collect keycard of the new room
and to complete the room change
within 3 working days.
|

If residents fail to complete
the check-out procedures within
these 3 working days, a penalty
of late check-out
(HK$200/day/person + room
charges/day/person) will be
levied.
