The period for Application for Graduation is from . Undergraduate students who plan to graduate in should take the following steps:

  1. Check “DegreeWorks” to ensure all the degree requirements will be met by the end of the semester;
  2. Submit an Application for Graduation in AIMS during the application period.

If you do not apply for graduation before the specified deadline, the University will NOT process your graduation for .

Upon announcement of course grades in , the academic records of students who have applied for graduation will be evaluated, and those who have met all the degree requirements will be awarded the degree.

To ensure a smooth processing of graduation, students must notify the University of their intention to graduate by submitting an application. This is particularly important for students pursuing a double major, multiple minors, or taking additional free electives. Failure to apply for graduation in the expected semester/term may cause a delay in the graduation date.

Eligibilty and Procedures

  1. Before applying for graduation, students are advised to utilize the advising tools and services available, such as DegreeWorks, to review their academic progress. It is important to ensure that the following required credit units have been earned before the application:
    Normative 4-year degree* 90 credit units or more
    Advanced Standing I 60 credit units or more
    Advanced Standing II 33 credit units or more
    *for BVM students, they are required to earn at least 180 credit units for the application.

  2. Students who enrolled in double major or minor can apply for graduation in one single application.

  3. To apply for graduation, please go to AIMS [Student Record > My Applications (for Undergraduates and Taught Postgraduate Programmes) > Graduation] (Demonstration screens)

  4. Please ensure the following before submitting the application:
    • Confirm the curriculum information
    • Verify the legal name and Chinese name
    • Make necessary amendments to the curriculum or name if the information is inaccurate

  5. Upon submission, students will receive a confirmation email. If they do not receive the email within 2 days, they should contact the office. Successful applicants can view the graduation curriculum information on AIMS by clicking “Graduation” again.

  6. After the announcement of assessment results, withdrawal of application for graduation is not allowed. Students will not be able to register for any courses in subsequent semesters/terms.

Application Period for Academic Year

Students are recommended to submit the application during the specified period in the semester/term when it is anticipated they will complete their degree requirements (subject to passing all currently registered courses) and plan to graduate. Late applications will NOT be accepted.

Meeting Graduation Requirements

After announcement of course grades, the academic records of students who have applied for graduation will be re-evaluated.

For students who meet all the degree requirements (including the second major or minor) in the intended graduation semester/term, they will be considered by the College/School Dean for appropriate award classification. Upon receiving the College/School Dean's decisions, students will receive a congratulation email. Graduates of Semester A and B will be invited to attend the College/School Commencement which will be held in May/June of that specific year. Graduates of Summer Term will be invited to attend the Commencement of the following year. Please visit the Commencement website for details closer to the event.

For students who are unable to meet the degree requirements confirmed during the application period, they might consider the following options after checking their study progress in DegreeWorks and consulting their academic advisor of the feasibility:

  • Continue to study to meet the desired degree requirements. A new application for graduation is required in the new intended appropriate semester/term.
  • Change the confirmed curriculum for graduation provided the degree and home major requirements are met. The application for changing academic curriculum for graduation must be submitted to ARRO before the deadline specified below. No late applications will be accepted due to time constraints.
Late application will normally not be accepted unless you have strong justifications for the late. Please apply for graduation in the following semester/term.

Important Note for Non-local Students

The University will notify the Immigration Department of non-local students’ change of student status in case of early graduation (i.e. visa expiry date is more than 3 months after the graduation date). The students will be required to leave Hong Kong within 4 weeks from the date of graduation.

    • Late application will normally not be accepted unless you have strong justifications for the late. Please apply for graduation in the following semester/term.

    • To maintain an active status in order to apply for graduation without taking any courses, students should apply for a leave of absence to take effect in that semester. You are advised to observe the deadlines to avoid being charged excess tuition fees. For details, please visit Leave of Absence.

    • You can apply in a single application and will be awarded at the same time provided that all requirements of the two majors are completed.

    • You do not have to notify any particular party, but you are advised to contact your academic advisor to seek for advice/assistance on your studies.

    • If you are not sure whether you can fulfill all graduation requirements after receiving the transcript, you should consult your academic advisor to determine what courses you should take in the semester.
    • If you are confident that all graduation requirements will be met after receiving the transcript, you should take the following steps:
      • Apply for leave of absence in the current semester;

      • Apply for graduation in the current semester
    • and your continuation fee may be waived if all of the following conditions are met:
      • Graduation requirements are fulfilled;

      • No course registration in the current semester;

      • Applied for graduation during the application period;

      • Applied for leave of absence before the end of Week 2 in the current semester; and

      • Have submitted a written request to ARRO with the endorsement from the Head of home academic unit.

    • You may continue to study in order to meet the requirements of your second major and defer graduation to a future semester/term; but must submit another application via AIMS in the appropriate semester/term of graduation. Alternatively, you may apply to change your academic curriculum by dropping the second major/change the second major to a minor (if appropriate) by using this application form and submit it before the deadline. Upon approval of the curriculum change, you may graduate in the designated semester/term.

    • If you have fulfilled all your degree and home major requirements; and want to drop your minor in order to graduate in this semester/term, you have to submit an application for changing major/minor as well as applying for graduation as soon as possible but not later than the specified deadline. Please download the application form and submit the completed form to ARRO before the deadline as indicated on it. No late application will be accepted due to time constraints.

    • No. You should have reviewed your academic progress before applying for graduation. Once you have submitted an application, the only consideration is whether you have completed all requirements by the end of that semester/term. Your application will be dropped only in case that your curriculum requirement cannot be met.
